Client Services Specialist

Great Schedule: The schedule for this position is 8:00 AM - 5:00 PM with one hour lunch, Monday - Friday.

The Client Services Specialist will perform variety of clerical and administrative functions along with scheduling, rescheduling, and canceling appointments for multiple agency locations. The position will answer a high volume phone calls and navigating calls by clients and/or service provider to appropriate staff. Managing appointments via phone, e-mail, electronic ticket system, or walk-in.

Additional responsibilities include:

  • Greeting visitors and notify staff as needed and optimize scheduling to reduce downtime. Make follow-up and reminder calls and update status with the staff.
  • Order and maintain office supplies, manage petty cash accounts and records, and prepare client materials by printing and assembling making workbooks and program handouts.
  • Sort incoming and outgoing mail and monitor the document center and incoming faxes.
  • Complete special projects for program managers and staff, including but not limited to preparing correspondence, printing labels, and filing, as assigned. Provide cross-coverage for essential daily tasks with other positions in the clerical pool.
  • Occasionally travel in personal or agency vehicle to other agency sites for cross-coverage of other clerical positions.

Attendance and punctuality are essential to the support of clinical and support staff. Absences and tardiness deemed excessive create a significant and negative impact and cannot be tolerated.

While providing coverage at the Liberty Road site, employees will complete payee functions for the Mental Health Skill Building program and enter required data for Discharge Assistance Project tracking purposes.

While providing coverage at Franklin Road site, possible driving of agency vehicle one morning per week to Burrell Center for vehicle inspection by agency fleet management services.

Qualifications:

  • Education: High School Diploma or GED required.
  • Experience: One year customer service experience working with diverse client populations preferred. Two years' experience preferred working in a healthcare setting with scheduling functions, and an understanding of HIPPA (client confidentiality).
  • Background Check: Candidates who are offered a position are required to undergo a background check and drug screen.
  • Safe Driving Record: This position requires transporting clients or driving agency vehicles. Candidates must have a good driving record, which is defined as no more than two moving violations in the last three years and no criminal moving violations in the last five years.
