This position is Full Time. The schedule is 8:00 AM - 4:30 PM or 8:30 AM - 5:00 PM; Monday - Friday (with half hour lunch). Or 8am to 5pm with an hour lunch, depending on the needs of the program.
What we are looking for: The ideal candidate will have strong customer service skills and will enjoy assisting individuals who may have mental illness or developmental disabilities. The successful candidate will be proficient of Microsoft Office/Excel, honor client rights, and be able to project a positive/professional image under pressure.
Hiring Range: $12-$15.18/hour
The Administrative Assistant - Floater supports the Developmental Disabilities (DD) Care Coordination Programs to include preparing/retrieving invoices for Assistive Technology and Environmental Modification (program providing grab bars, walkers, wheelchairs, etc.), completing denial letters, and obtaining and tracking receipts.
Additional duties include:
- Maintaining documentation and tracking expenditures in collaboration with Business and Finance department and preparing summaries of usage. Maintain an updated list of providers for staff and families.
- Enter data into ASCEND and WaMS, in addition to printing information from both systems to be scanned into the electronic health record (EHR).
- Assist case managers in reaching hard to contact families; transferring calls when case managers are in the field; filing and scanning to support case managers.
- Track and prepare transfers in and out of the CSB to include completion of Transfer Checklist and follow through to ensure documentation is received in a timely manner.
- Responsible for gathering documentation necessary in order to ensure a determination regarding eligibility for the waiver wait list occurs judiciously.
- Assist in securing releases.
- Run Millennium/SQL based reports to determine if any outstanding balances exist for DD Care Coordination services. Run Millennium/SQL reports to monitor service expectations for case management staff. Attend program staff meetings with DD Care Coordination to receive updates related to program and provide clerical assistance to staff as determined.
This position is a floating position dividing time between ACC DD Care Coordination and CYFS DD Care Coordination in a manner that best meets the needs of both programs as determined by division directors.
Minimum Requirements:
- Education: High school diploma or GED required.
- Experience: One (1) year of previous clerical or administrative assistant experience.
- Safe Driving Record: Candidates must have a valid Virginia driver's license with a safe driving record (no more than two moving violations in the last three years and no criminal violations in the last five years).
- Background: Candidates will be required to submit to a criminal background check.
